Thank you for your interest in staying at Tyddyn Melyn. Upon booking you are entering into a legal agreement with us. Please read our terms and conditions below:

Booking and Payment

A deposit of a total of 30% will be taken at the time of booking. The balance of the rental charge is payable no less than 9 weeks prior to the start of the holiday. The remaining balance will be deducted 4 weeks prior to your stay using the original card that you paid with. If you wish to use another card for the final payment, please let us know in advance. If you are booking less than 4 weeks in advance, the full amount for your stay will be required upon booking. Failure to pay the deposit or balance in full by the due dates will constitute a cancellation of the holiday by the holidaymaker. Please be sure to note the due dates of these payments as reminders are not routinely issued. If the final payment is not paid by the due date, Tyddyn Melyn reserves the right to retain your deposit and re-advertise the accommodation. Bookings are provisional until you receive an email confirmation from us. We reserve the right to decline or accept a booking request.

Tyddyn Melyn only accepts bookings from persons over 18 years of age and reserves the right, at all times, without a statement of reasons, to refuse or cancel a booking. We do not make any additional charges for card transactions. All transactions are payable in UK pound sterling (GBP).

Cancellation

Upon booking, you accept responsibility for the total cost of your stay - even if you are unable to fulfil your stay due to unforeseen circumstances. If you need to cancel, please contact us immediately. You may cancel your holiday at any time, however, the amount we agree to refund you depends on the proximity of your cancellation to the start date of your booking. 

The closer to the booking start date the cancellation takes place, the less likely we are to re-let the accommodation and recover the cost of your booking. The following charges are a genuine pre-estimate of the loss incurred in the event of your cancellation within the stated time periods:

Cancellation charges based on time until the start of stay:

More than 63 days before arrival date - 100% refund (minus £15 administration fee)

Arrival date is 62-49 days away - 60% refund 

Arrival date is 48-35 days away - 50% refund

Arrival date is 34-28 days away - 40% refund

Arrival date is 27 days or less - no refund unless we are able to resell your dates, in which case we can offer you a full credit note.

We cannot accept responsibility or pay any compensation where the provision of the holiday is prevented or affected by reason of circumstances that amount to “force majeure”. These include any event which we could not, even with all due care, foresee or avoid. Such circumstances include the destruction or damage of the property through fire, flood, explosion, storm or other weather damage, break-in, criminal damage, riots or civil strife, industrial action, natural or nuclear disaster, fire, adverse weather conditions, war or threat of war, actual or threatened terrorist activity, epidemic, pandemic and all similar situations beyond our control.

We strongly advise that you take out travel cancellation insurance. We will provide any information required for your travel insurance provider.

Changing your booking

Where possible, we will try to help you change the date of your booking if you can no longer make it. If you wish to change any details of your booking, you must contact us as soon as possible.

If you wish to change the dates of your booking, this is possible up to 8 weeks prior to the start date of your booking, after 8 weeks standard cancellation policy will apply. A charge of £25 will be incurred for each change in dates.

COVID-19 Cancellation Policy

Where the guest is legally unable to travel to Whinyard Rocks due to a UK Government imposed national or local lockdown as a result of the COVID-19 pandemic, for any booking made after 1st December 2021 we offer:

  • flexibility to reschedule the stay, subject to availability. You will have to pay the difference in price if the cost of the new booking is higher and you will be reimbursed the difference if the cost of the new booking is lower 

  • a refund in full (save £15 administration fee) 

Where a lockdown is in a guest’s home area we kindly ask that the guest please get in touch as soon as possible, no later than 7 days before arrival. However, if UK Government restrictions are imposed less than 7 days before the guests’ stay, we will honour the COVID-19 cancellation policy.

You must contact us as soon as possible to access these options.

Non-availability

We reserve the right to decline or cancel a booking request.

If we are unable to fulfil your booking for reasons beyond our control, we will offer you alternative accommodation or an alternative date. If neither option is possible, then we will refund all monies paid, without liability for any other costs or losses incurred.

Check-in/out

We offer self-check-in/check-out via a lockbox. Check-in is from 4pm on the day of your arrival and check-out time is 10am. If you can, let us know roughly when you’ll arrive so that we can ensure the cabin is warm. We reserve the right to make a surcharge for a departure later than fifteen minutes from the agreed check-out time, as this adversely affects the quality of provision we are able to offer the next incoming guest.

Occupancy

The maximum number of guests is limited to 2 adults. All guests must be over the age of 18. We do not accommodate anyone under the age of 18 including babies. We reserve the right to refuse admittance to extra guests. We cannot accept new guests replacing starting guests during any hire period. 

We reserve the right to refuse entry or terminate stays, without refund, of groups not adhering to these terms. 

We reserve the right to enter the accommodation at any time for all reasonable purposes. We respect your right to privacy and will not do so unless deemed absolutely necessary.

Lost keys

We provide guests with one set of keys per property. Should these be lost a minimum fee of £30 will be payable to cover changes of locks, getting a new key cut and our time in doing so.

Pets

No pets are permitted. Fines may be enforced if this rule is not adhered to.

Smoking

Smoking and vaping are strictly prohibited inside our accommodation. Outdoor smoking/vaping is acceptable only if all doors and windows are closed and no cigarette buts/cartridges are littered. A charge of at least £250 is payable if the smell of smoke is in our accommodation, has an impact on the experience of guests in subsequent rentals, or requires specialist cleaning. We reserve the right to prohibit smoking/vaping at any time.

Noise & Disturbance

Noise levels must be kept to a reasonable level, particularly after 11pm, to respect neighbours. We do not allow amplified music or drumming.

Breakages

We kindly ask that you take care when staying in our accommodation. You are fully responsible for keeping the property secure, clean and tidy during your stay. On departure we ask you to leave the property clean and tidy and in the order in which you found it. If extra cleaning is required (in addition to our standard cleaning), we may make an additional charge. Please let us know if anything gets broken so we can replace it for our next guest. We do not normally charge for minor breakages, but if the damage or breakage is significant or if the damage is directly attributable to the guest, then we reserve the right to request payment of up to £100. Tyddyn Melyn reserves the right to take payment from the banking details on file.

We may also make an additional charge of £50 if you did not report any significant breakages/damage to our accommodation.

We reserve the right to cancel stays mid-stay if serious damage has occurred, if a behaviour is deemed inconsiderate to other guests, or if any terms of this agreement have been seriously contravened.

Liability

We do not accept any liability for any damage, loss or injury to any member of your party or any vehicles, belongings or contents unless proven to be caused by a negligent act by ourselves or a contractor whilst acting in the course of employment. It is the guest's responsibility to close windows and lock the hut when they are not on site. Tyddyn Melyn cannot be held responsible for the guest's personal property which is not locked away inside the hut. Guests hiring bicycles or bringing their own should ensure they are locked and left outside the hut, please bring locks with you. Tyddyn Melyn cannot be held responsible for damage or theft to bicycles left on the property. Bicycles are not permitted inside the hut.

Every effort has been made to ensure guests safety on site but we cannot accept responsibility for any accidental injuries. The very nature of camping/glamping and being in the great outdoors carries an element of risk. There is a first aid kit and contact numbers for local A&Es, pharmacies and local GP surgery in the hut.

Parking

Parking is included in the price of your stay. Please park in front of the wooden workshop on arrival. The rest of the site is car-free to protect the flora and fauna in the fields. Please use the trolley provided to transfer your luggage to your cabin.

Site Regulations

In order to make the stay at Tyddyn Melyn as pleasant as possible, guests must keep to the rules of behaviour listed here, behaving in a considerate and safe manner to all people and animals onsite.

Fires: The fire pit must be kept within the designated areas and at a minimum of 1 metre from the hut, and only wood provided/purchased from us or from reputable shops can be used for burning. Before lighting fires, we ask you to read the guidelines (provided in the hut) and we will assume that you have read these and will adhere to them if you do decide to light a fire. Please do not forage firewood or kindling from the trees on site and do not help yourself to wood from the stacks in the yard. This wood is being seasoned for future use and burning it would be a smokey waste. We supply you with 1 bag of well-seasoned firewood on arrival and additional bags can be purchased at £6 per bag on-site.

The site: You are welcome to explore the site but please remember that the safety of yourself is your responsibility at all times. Please respect the flora and fauna and do not pick wildflowers or damage trees. If you see a wild animal, please enjoy the moment but watch it from a distance and try not to disturb it.

Fireworks/lanterns: We do not allow fireworks, Chinese lanterns or similar to be used on site. These lanterns pose a genuine threat to animal welfare, they are also a fire hazard not just to wildlife habitats but also to local farm buildings. Lanterns can come down in fields where they are ingested by grazing animals. The lanterns can also fall into fields where the frames are chopped into silage and hay during harvest. Small needle-like splinters then enter the animals’ feed where they can cause internal bleeding and great pain. There is also the risk of animals becoming entangled in frames and then injuring themselves as they panic and attempt to get themselves free.

We hope you love the natural environment as much as we do! We ask that you adhere to the Countryside Code including the following:

  • Leave gates as you find them, closing a gate if found closed.

  • Keep to public footpaths.

  • Do not walk across crops (this includes long grass).

  • Leave no trace on the land. We provide a variety of bins in your accommodation. There are opportunities for recycling through our labelled bin system.

If the Site Regulations are breached, in serious circumstances, we may ask you to terminate your stay without a refund.

Complaints 

Should you find you have any complaint during your stay at Tyddyn Melyn, please notify us immediately and we will do all we can to rectify the problem. Should you remain unsatisfied please notify us via email within 7 days of the end of your stay. You can email us at tyddynmelyn@gmail.com

We reserve the right to change/withdraw these terms and conditions at any time.  

Receipt of an email confirmation booking from us is acknowledged to be a full acceptance of these terms and conditions.
